What personal data we collect and why we collect it
Aviornis International UK does not collect and store any personal data about visitors, and only collects the data shown on the User Profile screen from registered users.
Your personal data will be used to support your experience throughout this website, to manage access to your account, and for other purposes described in this privacy policy.
We collect information about you during the checkout process on our store. Your personal data will be used to process any order or subscriptions and support your experience throughout this website, and for other purposes described in this privacy policy. This data includes your name, email address, personal account preferences. Sales include transactional data, such as purchase information and delivery address.
For the purposes of processing recurring subscription payments, we store the customer’s name, billing address, shipping address, email address, phone number and credit card/payment details.
While you visit our site, we’ll track:
- Products you’ve viewed: we’ll use this to, for example, show you products you’ve recently viewed
- Location, IP address and browser type: we’ll use this for purposes like estimating taxes and shipping
- Shipping address: we’ll ask you to enter this so we can, for instance, estimate shipping before you place an order, and send you the order!
We’ll also use cookies to keep track of basket contents while you’re browsing our site.
When shopping, we keep a record of your email and the basket contents for up to 30 days on our server. This record is kept to repopulate the contents of your basket if you switch devices or needed to come back another day.
Comments
Enquiries submitted through the contact area will be stored by the secretary for one year. There is currently no comment section stored on the website.
Media
All uploaded files submitted to this website are usually publicly accessible. If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website. Any media in areas requiring a log-in will only be available to current registered members.
Contact forms
Data gathered through the Aviornis UK membership subscription system is handled through WooCommerce, and the data is stored by an integrated service provided by Mailchimp. You can view Mailchimp’s Privacy Policy here: https://www.intuit.com/privacy/statement We will keep contact form submissions for the duration of your membership and for one year after that. We retain analytics records for a year, and customer purchase records for three years.
Cookies
We use cookies on this site to recognise logged-in users. These also determine which account and preferences to use for various features. Authentication details are stored upon login and are limited to the admin area.
If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.
When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select ‘Remember Me’, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.
As a guest editor, if you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.
Analytics
Performance and data on our site are managed by WooCommerce. Traffic on the site is monitored via Google Analytics 4.
Who we share your data with
Our website platform does not share any personal data, except to fulfil distribution of the printed magazines.
Names and addresses of subscribers are securely shared with the printer/distributor of the magazine, purely for mailing purposes. This data dump, once used, is not retained.
If as a member, you request a password reset, your IP address will be included in the reset email.
How long we retain your data
When you apply to join Aviornis UK via our contact form, we hold your data for the duration of your membership and for one year after that. We retain analytics records for a year, and customer purchase records for three years.
Any data attached to photographic media will remain embedded as long as the photograph is displayed.
For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.
What rights you have over your data
By joining Aviornis UK you give us details of your email, address, telephone number and name. This enables us to provide you with our range of services. If at any time you wish to have this data removed, we will do this for you.
If you have an account on this site, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Where your data is sent
Data submitted to us as membership applications is gathered by the contact form and uploaded to the user database generated by WooCommerce. This is held securely by Mailchimp, which is a third party provider. You can view Mailchimp’s Privacy Policy here: https://www.intuit.com/privacy/statement

How we protect your data
This site has a current security certificate supplied by LetsEncrypt.
Administrators for the site are the webmaster, editor, secretary and chairman. These individuals gain access through 2-factor authentication (2FA).

Membership is open to all. When membership levels allow, we will print our magazines. In the meantime, our membership rate reflects the digital-only output.
